Registration


As of Dec 3rd 2018, registration for IAU S350 is FULL!!. We are currently operating a first-come, first-served waiting list – please feel free to complete the registration form, and we will hold your details on file. If a place becomes available, we will contact you separately regarding payment.

What is the registration process?

There are three separate processes required to prepare for IAUS350 Laboratory Astrophysics:

  1. Registration and payment
  2. Abstract submission
  3. Accommodation Booking

In addition all participants are eligible to apply for financial support to attend the meeting if they think they may require it. Applications (including registration and abstract submission) must be completed by 1 December 2018, and full details and application forms can be found here

For full scientific participants, the registration fee includes

  • the scientific aspects of the conference (see programme).
  • welcome reception.
  • lunches (Monday 15 – Friday 19 April 2019 inclusive).
  • dinners (Sunday 14 – Thursday 18 April 2019).
  • conference banquet (Wednesday 17 April 2019).
  • poster session receptions.
  • conference trip.

In addition a limited number of places are available on a first-come first-served basis for a tour of Jesus College.

Conference proceedings

All scientific participants will receive an electronic copy of the conference proceedings, but have the option to order a paper copy for an additional charge of £60. This choice is available in the registration form.

Accompanying Persons

It is also possible to bring an accompanying person to IAUS350. Unfortunately, accompanying persons are not permitted to enter or participate to the scientific sessions; if they wish to do so then they must register for the full meeting.

For accompanying children under 10, the fee includes the welcome reception, and evening meals (Sunday 14– Thursday 18 April 2019, including the conference banquet on Wednesday 19 April 2019).

For accompanying children over 10, and accompanying adults, the fee includes welcome reception, dinners (Sunday 14 to Thursday 18 April 2019, including the conference banquet (Wednesday 17 April 2019)) and a conference trip. In addition, a limited number of places are available on a first-come first-served basis for a tour of Jesus College.

Parents are responsible for all accompanying persons under the age of 18 at all times, and further information is available on childcare options.

Ready to register?

To register for IAU S350 Laboratory Astrophysics, please complete the registration form in full and submit. Additional advice for completing the form is provided here.

Once your form has been submitted, you will receive two e-mails;

  • one confirming the details that you have submitted.
  • one to containing the link to pay.

You should make your payment in full within in 24 hours to guarantee your place at the symposium.

Confirmation of your registration will be sent to you within 48 hours of your payment being confirmed. Please direct any queries regarding registration to iaus350-labastro2019@open.ac.uk.

(Please note that only in exceptional cases it MAY be possible to request direct invoicing AFTER registration, provided the request is received within 24 hours of registration being completed, and subject to agreement with the LOC admin)

Cancellation

We appreciate that in very exceptional circumstances individuals may have to cancel their attendance. Please email iaus350-labastro2019@open.ac.uk to cancel your registration. As a goodwill gesture, we will be able to refund some of your registration fee, if your cancellation request is received on or before 10 March 2019 (£150 for early-bird participants and £100 for all other participants).

Additional Advice for Completing the Registration Form

 We hope most of our registration form is self-explanatory, but just in-case, here is some additional information.

  • Obligatory questions are marked with a red star*.
  • Please indicate if you are an invited speaker (i.e. you have received a personal email invite that you have accepted to speak at the meeting from the SOC).
  • If you are applying for any financial support please answer “yes” to “Are you applying for a travel grant?”. In this instance (only) you will not be required to immediately pay your registration fee, until the outcome of the travel grants is known in late Jan 2019. However you WILL be guaranteed to only pay the early-bird registration fee of £450 provided that, by 1 Dec 2019, you have completed the registration form, submitted an abstract and made a travel grant application. If you have not completed all three steps by 1 Dec 2019, you will be required to pay your registration fee in full, as if you had answered “no” to the question.
  • When entering your telephone contact number please use a number on which it is easy to contact you and include the country code in standard international format, e.g. + 44 121 345 6789.
  • Please indicate the dates you will arrive and depart the meeting. It is assumed delegates will arrive Sunday 14 April 2019 and depart Friday 19 April 2019. It is possible to book accommodation from Saturday 13 April 2019 until Monday 22 April 2019 (at conference rates). If you are staying before or after the meeting, please just indicate the meeting dates you will be present on this form. It is also possible to attend for a shorter period but no reduction in the conference fee is possible.
  • The conference fee includes a conference outing on Wednesday 17 April 2019, after lunch and prior to the conference banquet. It is not obligatory to attend the outing (though no fee discount is offered, if you choose not to participate in the outing), and four options are offered. Please choose one option. (Options may be removed, when trips are full – and are offered on a first come first served basis). We will do our upmost to accommodate your first choice, but the LOC reserve the right to change options depending on weather, and numbers of participants selecting any particular option e.g. for the trips to Mullard Radio Telescope, and Ely Cathedral, minimum numbers will be required. You can find more details of each trip here.
  • There is also the possibility to join a tour of Jesus College, lead by a college porter, on Monday, Tuesday or Thursday evening, after the scientific sessions have ended and before dinner. Places are limited to 20 per tour, with up to four tours available. You can find more details of the tour here.
  • Please indicate if you have any dietary requirements. Lunches are served buffet style, and dinners in a formal setting, but both have set menus. Jesus College will try as far as possible to accommodate any specific allergen or listed dietary requests.
  • Please let us know if you have any special access needs – so that we can try to accommodate these within the conference planning.
  • Each delegate will be provided with an electronic copy of the symposium proceedings (cost included in the conference fee), but you may order a printed copy of the conference proceedings for an additional cost of £60. It is vital that requests for printed proceedings are processed with your registration.

If you are bringing an accompanying person there are some additional questions.  Accompanying persons are “separated” into those above and below 10 years of age.

For those under 10 years old:-
  • Please indicate if they have any dietary requirements. Dinners are served in a formal setting, with set menus. Jesus College will try as far as possible to accommodate any specific allergen or listed dietary requests.
  • Please let us know if they have any special access needs – so that we can try to accommodate these within the catering planning.
For those over 10 years old:-
  • The conference fee includes a conference outing on Wednesday 17 April 2019, after lunch and prior to the conference banquet. It is not obligatory to attend the outing (though no fee discount is applied if they do not attend), and four options are offered. Please choose one option. (Options may be removed when trips are full – and are offered on a first come first served basis).
